A welcome greeting that sounds the way your business looks

The welcome greeting is the first thing a caller hears from you, and usually the one piece of your business nobody ever wrote. Below is what belongs in it, and the two ways to have one made. Listening costs nothing.

What belongs in a welcome greeting

Short beats complete. A caller who waits twenty seconds before hearing anything useful hangs up.

    Your name, immediately

    The caller wants to know within a second that they reached the right place. Start with the company name, not with a three-line greeting.

    What happens next

    Are they being transferred, going into a menu, or waiting? One sentence saying so saves irritation, even when the answer is waiting.

    A way out

    Name the alternative if it takes longer: an email address, a promise to call back, a time. That is the difference between a caller who gives up and one who returns.

Why a recorded greeting makes a difference

It is your calling card

Someone who calls instead of emailing is in a hurry or has a question that does not fit a form. What they hear first decides whether they think you have your affairs in order.

The default message says nothing

The provider computer voice reading back your number is the telephone equivalent of a blank page. It is correct, and it helps nobody.

Consistent with the rest

The same voice on the welcome greeting, the phone menu and the queue sounds like a company. Three different voices sound like three separate people.
